Check gift card information and transaction history

Learn how to check the balance and transaction history of gift cards on the Merchant Portal.

Once a gift card is activated and used on the Eats365 POS, gift card information and transaction history become available on the Gift Card settings. 

In this article, you'll learn how to check gift card information and transactions, and export gift card records.

Check gift card information and transaction history

To check a gift card’s information and transaction history, follow the steps below:

Merchant Portal (Classic Theme)

Tip: To switch themes, at the top right, click on the account name. Then, select Experience Merchant Portal 2.0.

  1. Log in to the Merchant Portal.
  2. On the left panel, click on Gift Card / Discount Coupon.
  3. Under "Gift Card," click on Gift Card.
  4. At the top right, click on the date range. Then, select the date range that you want to include in the search results.
  5. To filter the search results further, click on Advanced Filtering. Then, filter the following information: 
    • Account - Select which account the gift cards belong.
    • Campaign - Select which campaign the gift cards belong.
    • Type - Select if you want to check "Single Use" gift cards or "Multiple Use" only. To check both gift card types, select All.
    • Status - Select if you want to check "Activated" gift cards or "Expired" gift cards only. To check both, select All.
  6. Toggle on Include Deleted Cards  to add deleted gift cards to the list.
  7. Click on Submit to confirm. A list of all gift cards created on the selected date range appears on the page.
  8. To check a gift card’s information and transaction history, click on the sequential ID of the gift card that you want to check.
  9. Under "Card Information," you’ll find the gift card’s current status and value, as well as the settings initially set on the gift card.
  10. Under "Transactions," you’ll find transaction information made on the gift card. To check a transaction, click on the order number of the transaction.

Note: You must be on Organization View to view expired gift card information and transaction history.

  1. Log in to the Merchant Portal.
  2. On the left panel, click on Gift Card.
  3. Under "Gift Card," click on Gift Card.
  4. Select the date range that you want to include in the search results.
  5. To filter the search results further, click on the drop-down menu next to the date range. Then, filter the following information: 
    • Account - Select which account the gift cards belong.
    • Campaign - Select which campaign the gift cards belong.
    • Type - Select if you want to check "Single Use" gift cards or "Multiple Use" only. To check both gift card types, select All.
    • Status - Select if you want to check "Activated" gift cards or "Expired" gift cards only. To check both, select All.
    • Sequential ID - Enter the sequential ID of the gift card that you want to check.
    • Payment Code - Enter the payment code of the gift card that you want to check. 
      Tip: You can find the "Payment Code" in the Excel file that’s generated after issuing gift cards.
  6. Toggle on Include Deleted Cards to add deleted gift cards to the list.
  7. Click on Submit to confirm. A list of all gift cards created on the selected date range appears on the page.
  8. To check a gift card’s information and transaction history, click on the sequential ID of the gift card that you want to check. Alternatively, you may also click on Edit next to the gift card that you want to check.
  9. Under "Card Information," you’ll find the gift card’s current status and value, as well as the settings initially set on the gift card.
  10. Under "Transactions," you’ll find transaction information made on the gift card. To check a transaction, click on the order number of the transaction.

To export a file of gift card records, follow the steps below:

  1. Log in to the Merchant Portal.
  2. On the left panel, click on Gift Card / Discount Coupon.
  3. Under "Gift Card," click on Gift Card.
  4. At the top right, click on the date range option. Then, select the period that you want to image in the exported report.
  5. Click on Export. A file with all gift card codes ever created under your organization or restaurant gets downloaded to your computer. 
    Note: "Payment Codes" aren’t included in the exported data.

  1. Log in to the Merchant Portal.
  2. On the left panel, click on Gift Card.
  3. Under "Gift Card," click on Gift Card.
  4. Select the period that you want to include in the exported report. 
  5. Click on Export. A file with all gift card codes ever created under your organization or restaurant gets downloaded to your computer. Note: "Payment Codes" aren’t included in the exported data.
