Create and manage Membership Cards

Learn how to use membership cards for your restaurant’s loyalty program.

A restaurant membership card is a special type of card issued by a dining establishment to its loyal customers. It functions as a means to recognize and reward frequent patrons for their continued support. When a customer obtains a restaurant membership card, they can gain access to a range of benefits and privileges that enhance their dining experience. These benefits can vary depending on the restaurant's offerings and policies, but commonly include:

  • Birthday perks
  • Loyalty points
  • Store Credit
  • Personalized service

In this article, you’ll learn how to generate codes that can be used to create membership cards, link a membership card to a member’s account on the POS, and scan membership card numbers to pull up member information.

Important: 

  • A Loyalty Program license is required to be able to access full CRM features and tools. You may reach out to a Channel Partner or Eats365 to purchase a license.
  • Your account must have the required permission level to create membership cards.

Generate Codes

To create unique codes, follow the steps below: 

Merchant Portal (Classic Theme)

Tip: To switch themes, at the top right, click on the account name. Then, select Experience Merchant Portal 2.0.

  1. Log in to the Merchant Portal.
  2. At the top left, change the view to All Groups to display Organization Settings.
  3. On the left panel, click on CRM. 
  4. Select Membership Card. 
  5. At the top left, click on the drop-down menu and select the number of codes you’d like to generate.
  6. At the top right, click on Generate.

Tip: To switch themes, at the top right, click on the account name. Then, select Back to Classic Theme.

  1. Log in to the Merchant Portal.
  2. At the top, from the "Group" drop-down list, select the organization you’d like to manage.
  3. On the left panel, click on CRM. 
  4. Click on Loyalty. Then, select Membership Card. 
  5. Under "Issue Membership Card Code," enter the number of codes you want to generate.
  6. Click on Generate Membership Card(s).

Unique codes will automatically populate the lower portion of the screen. The codes are configured in a standard 128-bit Universally Unique Identifier (UUID). You may use this code to generate scannable QR Codes that can be printed on the membership card.

Export Membership Card Codes

You can export the generated codes into a CSV file to make it easier to keep track and manage.

To download Membership Card Codes, follow the steps below:

  1. Log in to the Merchant Portal.
  2. At the top left, change the view to All Groups to display Organization Settings.

  5. Next to the membership codes that you want to include in the report, click on the checkbox.
  6. At the top left, click on Export. The CSV file is automatically downloaded to your device.

  1. Log in to the Merchant Portal.
  2. At the top, from the "Group" drop-down list, select the organization you’d like to manage.
  3. On the left panel, click on CRM. 
  4. Click on Loyalty. Then, select Membership Card. 
  5. Next to the membership codes that you want to include in the report, click on the checkbox.
  6. At the top right, click on Export Data. The CSV file is automatically downloaded to your device.

Link a membership card to a member’s account

There are two types of membership cards that you can link to the member’s account on the Eats365 POS. You can either link an Eats365 membership card which refers to the membership card generated through our CRM, or link a restaurant membership card which can be created using a third-party CRM system.

To link a membership card, follow the steps below: 

  1. Log in to the Eats365 POS.
  2. At the top right, tap Member .
  3. Enter the phone number, first name, or last name of the member. Then, tap Search.
  4. Select the member’s account. Then, tap Link Eats365 membership to link an Eats365 membership card, or tap Link Eats365 restaurant membership to link a restaurant membership card from a third-party CRM system.
    Tip: You may also link a restaurant membership card by adding the member’s VIP Code on the Customer List on the Merchant Portal. For more information, refer to Manage member information and order history.
  5. Tap Scan by Camera. 
  6. Position the membership card’s QR Code in front of the camera. A pop-up message appears if the scan is successful.
  7. Click OK. The member is automatically added to the order. In future transactions, you can add the member to the order just by scanning the membership card’s QR Code.

Scan membership card number

Scanning the member’s membership card can be used to easily search for the member’s account on the Eats365 POS. 

To scan a membership card, follow the steps below: 

  1. Log in to the Eats365 POS.
  2. At the top right, tap Member .
  3. On the "Card Number" field, tap Scan .
  4. Position the membership card’s QR Code in front of the camera.
  5. Select the member’s account.

Tip: If scanning the membership card number doesn’t work, you may also manually enter the member’s card number on the "Card Number" field, then tap Search.
